Privacy Policy

This Privacy Policy applies to kisn.co.uk and its subdomains (the “Website”) and to the KISN application (the “App”) (together, the “Services”). It describes how KISN (“we”, “us”, “our”) collects, uses, stores, and protects your information when you use our Services.

1. What We Collect
1.1 Website Visitors (kisn.co.uk)
When you visit our Website, we may collect:
- Analytics data — page views, referral source, device type, and approximate (city-level) location. Analytics cookies are only set after you consent via our cookie banner, and you can withdraw consent at any time.
- Request metadata — our hosting and network providers may process your IP address and request metadata to deliver and secure the Website. This is described in Section 6 (Third-Party Processors).
1.2 Account Information
When you create an account, we collect:
- Authentication data — you sign in with Google, which we use solely to authenticate you. We receive your name, email address, and profile image from Google, and we request only basic profile information (name, email, profile picture). We do not post to your Google account, and we do not access your Google Drive, Gmail, Calendar, Google Sheets, or any other Google service. We would only request additional Google permissions if you explicitly granted them in the future.
- Operational logs — our authentication, hosting, and serverless-function providers may log information such as your IP address, browser/user-agent string, and request metadata for security, fraud prevention, and abuse detection.
1.3 Project Data
We collect and store the content that you create or upload to KISN, which may include:
- Project information and descriptions
- Inputs you record, such as meeting notes, requests, issues, discussions, and user feedback
- Tasks and risks derived from your projects
- Templates you create
- AI-generated outputs
2. How We Use Your Information
We use the information we collect to:
- Provide and maintain the KISN service
- Generate AI-assisted project outputs when you request them
- Improve product quality, reliability, and performance
- Respond to support requests
- Prevent abuse, fraud, and unauthorised access
- Communicate important, service-related product updates
We do not sell personal data. We do not use your data for profiling or automated decision-making that produces legal or similarly significant effects. We do not send marketing emails.
3. AI Processing
When you request an AI-assisted output, the relevant project inputs are sent to a third-party AI provider (currently Google’s Gemini API) to generate structured outputs. The following applies:
- AI processing only occurs when you explicitly request an AI feature. Your content is not sent to any AI provider in the background.
- Your content is transmitted to the AI provider’s API for processing and is subject to that provider’s terms and privacy documentation.
- We do not use your content to train our own AI models.
- Generated outputs are suggestions only and may contain inaccuracies, omissions, or incorrect assumptions.
- You remain responsible for reviewing, validating, and approving all generated content before relying on it. KISN does not provide legal, financial, regulatory, or other professional advice.
4. Confidential Information
You are responsible for ensuring that you are authorised to upload any information into KISN. Please avoid uploading confidential, regulated, or sensitive information unless you have the appropriate authorisation to do so.
5. Lawful Bases for Processing (UK GDPR / GDPR)
If you are in the United Kingdom or European Economic Area, we rely on the following lawful bases:

6. Third-Party Processors
We share personal data with the following service providers, each acting as a data processor on our behalf:

We do not share your personal data with any other third parties except where required by law.
7. International Data Transfers
Our processors operate globally, and some processing takes place outside the United Kingdom and the European Economic Area (notably in the United States). Where personal data is transferred outside the UK or EEA, appropriate safeguards — such as Standard Contractual Clauses, the UK International Data Transfer Addendum, or equivalent legal mechanisms — are relied upon where required.
8. Data Retention

During the beta period, we may delete user data upon conclusion of the beta phase or at our discretion. We will endeavour to provide reasonable notice before any mass deletion.
You may request deletion of your account and associated data at any time by contacting [email protected].
9. Your Rights
9.1 United Kingdom and EEA (UK GDPR / GDPR)
- Access — request a copy of the personal data we hold about you.
- Rectification — request correction of inaccurate data.
- Erasure — request deletion of your data (subject to any legal retention obligations).
- Restriction — request that we limit processing of your data.
- Portability — receive your data in a structured, machine-readable format.
- Objection — object to processing based on legitimate interests.
- Withdraw consent — withdraw consent for analytics cookies at any time.
- Complaint — lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.

10. Security
We implement appropriate technical and organisational measures to protect your information, including:
- All connections encrypted via HTTPS/TLS.
- Authentication handled via Google OAuth — we never see or store your Google password.
- Per-user access controls enforced at the database level, so you can only access your own data.
- Access controls on backend infrastructure.
No online service can guarantee absolute security. If you discover a security vulnerability, please report it to [email protected].
11. Children
KISN is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this page. For significant changes, we will endeavour to notify registered users. Continued use of KISN after changes take effect constitutes acceptance of the updated Policy.

By accessing or using KISN (“the Service”), you agree to these Terms of Use (“Terms”). If you do not agree, please do not use the Service.
1. Beta Service
KISN is currently provided as a free beta service. During this period:
- Features, functionality, and availability may change at any time without notice.
- The Service may contain bugs, errors, or incomplete functionality.
- We make no commitments regarding uptime, performance, or long-term availability.
2. User Accounts
You are responsible for:
- Maintaining the security of your account credentials.
- All activity that occurs under your account.
- Notifying us immediately if you suspect unauthorised access to your account.
We reserve the right to terminate accounts that violate these Terms.
3. User Content
You retain ownership of all content you upload to KISN (“User Content”). By using the Service, you grant KISN a limited, non-exclusive licence to store, process, and analyse your User Content solely for the purpose of providing the Service to you.
You represent and warrant that:
- You have all rights, permissions, and authorisations necessary to upload the content you provide.
- Your User Content does not violate any applicable law or third-party rights.
4. Generated Content
AI-generated outputs produced by KISN are provided for informational purposes only. You acknowledge that:
- Generated outputs may contain inaccuracies, omissions, or incorrect assumptions.
- You are responsible for reviewing, validating, and approving all generated outputs before relying on them.
- KISN does not guarantee the accuracy, completeness, or suitability of any generated content.
- KISN does not provide legal, financial, regulatory, or other professional advice.
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable regulations.
- Upload content you are not authorised to share or process.
- Attempt to gain unauthorised access to the Service or its infrastructure.
- Interfere with the operation or security of the Service.
- Use the Service to transmit malware, spam, or other harmful code.
- Reverse engineer, decompile, or attempt to extract source code from the Service.
6. Intellectual Property
KISN and all related software, branding, design, and functionality remain the property of KISN. These Terms do not grant you any ownership of the software or intellectual property rights beyond the right to use the Service as permitted herein.
You retain full ownership of your User Content and of the AI-generated outputs you create using the Service.
7. Suspension and Termination
We may suspend or terminate your access to the Service at any time, with or without notice, if:
- You violate these Terms.
- We reasonably believe your use poses a risk to the Service or other users.
- We discontinue the beta programme.
8. Future Paid Features
KISN currently provides free beta access. We may introduce paid plans, subscriptions, usage limits, or premium features in the future. Any future paid services will be subject to additional pricing and billing terms, which will be communicated in advance.
9. Disclaimer of Warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.
We do not warrant that the Service will be uninterrupted, error-free, or free of harmful components.
10. Limitation of Liability
To the maximum extent permitted by applicable law, KISN shall not be liable for any indirect, incidental, special, consequential, or business losses arising from:
- Your use of or inability to use the Service.
- Any reliance on AI-generated outputs.
- Unauthorised access to your data.
- Any interruption or cessation of the Service.
You remain solely responsible for all project decisions and actions taken based on outputs generated by the Service.
11. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
12. Changes to These Terms
We may update these Terms from time to time. When we do, we will update the date at the top of this page. Continued use of the Service after changes become effective constitutes acceptance of the updated Terms.

Beta Programme Terms

Welcome to the KISN Beta. KISN is an early-stage product designed to help project managers and business analysts structure project context and generate structured project artefacts.
1. Beta Status
KISN is currently under active development. As a beta participant, you understand and accept that:
- Features may change, be modified, or be removed without notice.
- The Service may produce unexpected or incorrect results.
- The Service may become temporarily unavailable.
- We may make significant changes to functionality between sessions.
2. Free Beta Access
Beta access is currently provided free of charge. We reserve the right to:
- Modify or limit beta access at any time.
- Discontinue the beta programme.
- Transition to a paid service model in the future, with advance notice.
3. No Service Guarantees
Beta access is provided without any service-level commitments. The following are not guaranteed during the beta period:
- Service availability or uptime
- Response times or performance benchmarks
- Data durability (see Section 5 below)
- Customer support response times
4. Feedback
By participating in the beta programme, you agree that feedback, bug reports, suggestions, and improvement ideas you voluntarily provide may be used to improve KISN without compensation or attribution. Providing feedback is entirely voluntary.
5. Data During Beta
You acknowledge that during the beta period:
- Data may be reset, migrated, or deleted as part of development and infrastructure changes.
- We will endeavour to provide advance notice of any planned data deletion.
- We recommend not relying on KISN as the sole repository for critical project information during the beta.
6. Generated Outputs
AI-generated outputs may contain inaccuracies, omissions, or incorrect assumptions. Beta participants should:
- Review and validate all outputs before relying on them.
- Not use generated outputs as substitutes for professional advice.
- Report inaccuracies or issues to help us improve the product.
7. Relationship to Other Terms
These Beta Programme Terms apply in addition to the KISN Terms of Use and Privacy Policy. In the event of a conflict, these Beta Programme Terms shall take precedence with respect to beta-specific matters.
